Candidate Tracker Spreadsheet- Overview

Recruitment Tracker Template – By Open Position

This is report for viewing and not editing. By selecting a ‘job id’ you can view the live progress and current status of each position. It tells you how long the position has been open for, and how many candidates are at each stage of the hiring process.

Populating The Candidate Tracker Spreadsheet with Data

There is a sheet titled, “readme” which tells you how to use the document. Read this and follow it carefully to ensure the candidate tracker spreadsheet works as expected.

Save a spare copy of the file, just in case you make a mistake in your working file.

After the file is opened you will need to “Enable Editing” and “Enable Content” in order to make changes and allow totals to calculate.

The file contains fictional data so you can see it working. To delete this data got the jobs and recruits tab and select all the rows that contain data and hit delete. You now have a blank file.

Setting Up Codes (Codes Tab)

The system contains a set of default status codes which are needed for the Hiring Dashboard to work and report on hiring activity. These codes can be customized to some degree to suit your environment and the instructions for use are below.

1. Dashboard Year. Add in new years as required.
2.Application Source: Rename existing applications sources or add in new application sources as required.
3.Rejection Reasons: Rename existing rejection reasons or add in new ones as required.
4.Job Stage: Can’t be modified. Do not modify.
5.Job Status: Rename existing job statuses or add in new ones as required.
6.Recruit Status: Rename existing recruit statuses or add in new ones as required.
7.Time Period: Can’t be modified. Do not modify.

 

Entering Jobs (Job Tab)

Adding jobs is easy. Go to the ‘Job Tab’ . Then create a ‘job ID’, ‘job title’…, filling out all the columns in the row until you get to the ‘job cost’ column at the end. That’s it, it’s that easy, you’ve added a job.

You may not be able to fill in every column at the start, and that’s OK. Just fill in what you can at the beginning and update as and when necessary.

 

Entering Applicants (Recruits Tab)

Adding applicants is easy. To enter an applicant, go to the recruits tab and select the relevant job ID from the drop down list,( in the first empty row you see) .

The ‘job title’ field adjacent to your selected job id will automatically display the corresponding job title. You can then enter, ‘applicant name’, ‘application source’, along with application dates, 1st/2nd interview dates, offer date and hire date, along with any reasons for rejection. The rejection reasons is for reporting purposes a drop down box, but you can write detailed rejection reasons in the field adjacent. There are also 5 custom fields that you can rename as you see fit to track additional data.

You may not be able to fill in every column at the start, and that’s OK. Just fill in what you can at the beginning and update as and when necessary.

Whatever you do, do not rename column titles A to M or the macro and file

 

Updating Job and Applicant Data  (Recruit Tab)

As applicants move through each stage of the hiring process you can update the tracker (via the Recruit Tab) to reflect this so you always know what’s going on in your hiring process.

To update job data, as things change during the hiring process, e.g. you incur more hiring costs, simply go to the ‘Jobs Tab’ and make the necessary changes.

To update applicant data, as things change during the hiring process, e.g. you set a 2nd interview date, or you reject someone, simply go to the ‘Recruit Tab’ and make the necessary changes.

If you want to see these new changes reflected in the model, you’ll need to go to the three other Dashboard reporting sheets, (Tracker, Interview and Dashboard), and click the ‘Refresh Data’ button at the top.

Interview Schedule Report

This is a simple interviewee schedule. You simply choose the appropriate job ID and the time period and the corresponding list of scheduled interviewees will appear below it. You can put this into PDF format and email it your hiring managers and other attendees. To get this to PDF, stay on the Interview Form tab, and select, File and then Save As and the select PDF as the file type.  It can automatically be emailed as a PDF by selecting File and then Share, and then send as PDF.

 

Cloud Access: It can be shared in the cloud, real-time with your hiring team using Google Drive Back up and Sync app, meaning multiple recruiters in different locations can access and update the same file securely simultaneously from different machines. The video below tells you how to do securely share this Excel file in the cloud with your hiring team.
